Magento year-end inventory checklist
A working checklist for the person responsible for count day. Print this page with your browser or use it alongside your count sheet.
Before count day
- Define which stock areas, overstock, returns, and receiving locations are included.
- Agree on a movement cutoff and how sales, deliveries, and picks during the count will be recorded.
- Finish or clearly separate open receiving, damaged stock, and returns.
- Export a Magento stock reference with the SKU and quantity relevant to the location being counted.
- Check what Magento quantity means in your setup, especially when using reservations or Multi-Source Inventory.
- Test representative barcodes, manual SKU lookup, scanner keyboard mode, and Tab or Enter terminators.
- Prepare a count sheet and assign each area to one counter.
During the count
- Identify the item by SKU, barcode, image, and description before recording its quantity.
- Record the physical count in your count sheet. Keep counted and uncounted areas distinguishable.
- Record stock movements that occur after the reference export.
- Separate unknown barcodes and ambiguous product matches for review.
- Flag discrepancies and add useful notes while the item is nearby.
- Mark each area complete and confirm overstock and non-saleable stock were handled as planned.
Review and close
- Calculate differences between the physical count and the Magento reference.
- Recount material differences and check open orders, receiving, returns, and movements.
- Have the designated reviewer approve adjustments before changing Magento stock.
- Apply approved changes through your existing Magento process and verify the results.
- Retain the count sheet, movement notes, approvals, and final export.
M2 InstaCount identifies Magento products and displays stock quantity during lookup. Physical count recording and approved stock adjustments remain part of your count process. Receiving tracks quantities and exports CSV data. This checklist supports operational preparation and is not accounting advice.
